Translation and Document Preparation for Apostille

Preparing documents for use abroad often requires careful review of requirements, accurate translation, and proper certification. Aitochka translation bureau helps prepare documents for further submission: we provide translation, notarized translation, basic guidance on document requirements, and organizational support based on the client’s authorization.

Important: Aitochka is a private translation and document support bureau. We are not a government authority and do not represent the Ministry of Foreign Affairs, the Ministry of Justice, the Ministry of Education and Science, the Ministry of Internal Affairs, Diia, embassies, or consulates. An apostille is issued only by authorized bodies. We provide translation, translation certification, consultation, and organizational document support services.

Our role is to help clients prepare their documents in a format suitable for translation, certification, and further use abroad. If a document requires an apostille, our manager can explain the general preparation process, outline possible steps, and advise which type of translation or certification may be needed.

How we can help

Document translation

We translate personal, educational, legal, medical, and other documents for submission in Ukraine or abroad. We work with different language pairs and take into account formatting requirements for official document translations.

Translation certification

If needed, we can arrange notarized translation or another available form of translation certification depending on the purpose of document submission.

Document support

We provide guidance on document preparation, check basic completeness, and help organize further document-related steps based on the client’s authorization.

Preparing documents for an apostille

An apostille may be required if a document is intended for use in another country. Requirements depend on the document type, the destination country, and the rules of the institution that will receive the documents. That is why it is important to check the required format before translation or certification.

We do not issue apostilles ourselves and do not make decisions on behalf of government authorities. Instead, we assist with the stages that fall within the scope of a translation and document support bureau:

  • preliminary consultation on document preparation;
  • basic review of translation and certification requirements;
  • translation of the document into the required language;
  • translation of the apostille stamp or a document with an apostille;
  • notarized translation if required;
  • organizational document support based on the client’s authorization;
  • delivery of the completed translation in a convenient way.

When apostille-related translation may be needed

Translation may be required either before or after apostille certification, depending on the requirements of the country, institution, or organization where the documents will be submitted. In some cases, only the document is translated; in others, the document and the apostille stamp must be translated together.

To avoid unnecessary costs and repeated processing, it is better to clarify in advance which translation format is needed: standard written translation, notarized translation, or translation of the document together with the apostille.

Documents we can help prepare

We work with different types of documents when the client needs translation, translation certification, or consultation support for document preparation:

  • educational documents and supplements;
  • personal documents;
  • documents for study, work, or relocation;
  • medical and insurance documents;
  • legal documents for individuals;
  • company documents;
  • documents that already have an apostille and need to be translated.

If you are not sure which translation format is required, send your document for preliminary assessment. Our manager will clarify the purpose of submission, the target language, the desired deadline, and possible formatting options.

Apostille or consular legalization

Different countries may have different rules for document confirmation. In some cases, an apostille may be used; in others, consular legalization or another preparation procedure may be required. Final requirements depend on the destination country, document type, and the institution that will receive the document.

We help with the preparatory stages: translation, translation certification, basic requirement checks, and organizational support. Official actions, processing times, and decisions of authorized bodies are not controlled by the bureau.

How the process works

1. You send the document

You can send a photo or scan of the document for preliminary assessment. Our manager will clarify the country or institution for which the document is being prepared.

2. We assess the request

We determine the translation language, document volume, need for certification, and possible preparation steps.

3. We prepare the translation

We translate the document, arrange certification if needed, and deliver the completed materials in a convenient way.

Price and timing

The price depends on the translation language, document volume, urgency, need for notarized translation, and additional support. After reviewing the document, our manager can provide an estimate for your specific case.

The cost of translation, certification, and support is calculated individually. Government, consular, and administrative fees are not payment for bureau services. Official procedure timelines and decisions of authorized bodies are not controlled by Aitochka.
